Process Map

A process map is a visual tool that outlines the sequence of steps in a process from start to finish. Types of Process Maps

Basic Flow Chart A simple flow of steps represented by symbols to show the general flow of tasks in a process. Swimlane Diagram Also known as a cross-functional process map, it uses “swimlanes” or rows to assign each step to a specific role, department, or team. This type of map clarifies responsibilities and shows how work moves between different functions. Value Stream Map (VSM) Common in lean, VSM visualizes both the current and future state of a process, including information, material flows, and waste points. It helps identify non-value-added activities and improve the process flow. SIPOC Diagram SIPOC (Suppliers, Inputs, Process, Outputs, and Customers) provides an overview of a process at a high level, showing key inputs and outputs. It’s often used in Six Sigma for scoping projects. Detailed Process Map A more in-depth view, often with additional data on time, resources, and costs at each step. This map is valuable for thorough analysis and troubleshooting complex processes.

Key Elements of a Process Map

Start/End Points The beginning and end points of the process, marking the boundaries of the workflow. Steps and Activities Each task, decision, or activity is represented by a shape (usually a rectangle), with descriptions to clarify what is done at that point in the process. Decision Points Decisions are often represented by diamonds and indicate where choices or conditions affect the direction of the process. Flow Lines Arrows show the flow and sequence of each step, guiding users through the entire process. Roles/Responsibilities (for Swimlane Diagrams) Swimlane diagrams assign each step to a specific department, role, or team, creating “lanes” that show responsibility and facilitate cross-functional alignment. Inputs/Outputs Inputs represent resources or information entering the process, while outputs show what is produced by each step.

Creating a Process Map

Define the Process Scope Identify the start and end points, the purpose of the process, and the scope of the process map to be created. Identify Steps and Activities List all the steps in the process in a sequential order. Collaborate with stakeholders or process experts to ensure accuracy and completeness. Choose the Right Type of Map Select the process map type based on the purpose, such as a basic flow chart for a general overview, a swimlane diagram for showing responsibilities, or a value stream map for lean analysis. Use Standard Symbols Use standard process mapping symbols, such as rectangles for tasks, diamonds for decisions, and ovals for start/end points. This consistency makes the map easier to understand. Connect Steps with Flow Lines Draw arrows to show the flow and direction of each step. Make sure the process flows logically from start to end. Validate the Process Map Review the completed map with team members and stakeholders to confirm its accuracy. Make adjustments based on feedback to ensure the map reflects the actual process.
